Example of a meeting

La riunione, condotta a turno da un socio nella veste di Toastmaster of the day, è scandita da tre momenti principali:
  1. i discorsi
  2. l’improvvisazione (Tabletopics)
  3. le valutazioni.
1. Discorsi
Per ogni riunione tre a quattro soci preparano il proprio discorso della durata di 5-7 minuti.
L’argomento del discorso, tranne per il primo discorso che ha come argomento la presentazione di sé al club (detto “icebreaker”, nel senso metaforico di rompere il ghiaccio con il pubblico). L’argomento è libero ma ci si deve attenere agli obiettivi previsti per ciascun livello di discorso. Infatti nella preparazione seguiamo un manuale, il “Competent Communication Manual”, che prevede dieci progetti ciascuno dei quali con un obiettivo specifico di comunicazione, secondo un ordine di importanza e difficoltà. Ad esempio il secondo è sull’organizzazione del discorso (apertura, corpo e chiusura), il quarto è sul lessico, la sintassi e le figure retoriche adatti alla comunicazione orale, il quinto sul linguaggio del corpo, il sesto sullo sfruttamento della varietà vocale.
Alla fine di ciascun discorso gli altri soci presenti compilano una scheda di valutazione, che servirà all’oratore per capire come è stato percepito dal suo pubblico, quali sono i punti forti e quali da migliorare.
2. Table Topics
Per dare la possibilità a tutti i presenti di parlare, anche se nella specifica sera non ricoprono un ruolo attivo come oratori, valutatori, toastmaster of the day, general evaluator o topicsmaster, in 15 minuti di improvvisazione (il tabletopics) si dà la possibilità a più persone di esercitarsi in pubblico senza alcuna preparazione. Il Topicsmaster della serata avrà preparato delle domande o degli spunti per far intervenire soci e ospiti che lo vorranno per un minuto, un minuto e mezzo. In genere è un momento molto divertente perché il topicsmaster trova espedienti curiosi, come commentare un proverbio o le frasi dei baci perugina e dei dolcetti della fortuna.
3. Valutazioni
Un aspetto fondamentale del Toastmasters è la fase finale delle valutazioni. Ciascun oratore ha un valutatore personale per quella serata, che lo avrà ascoltato attentamente e che ha presenti gli obiettivi dello specifico progetto (livello di discorso). Il valutatore farà quindi la sua valutazione di fronte a tutti, per una durata di 2-3 minuti, allo scopo di mettere in luce i punti di forza dell’oratore, gli aspetti che sono ben padroneggiati, in modo che ne acquisti consapevolezza ed eventualmente li affini ancora di più; ma ha anche lo scopo di segnalare i punti che si possono migliorare, secondo il giudizio soggettivo del valutatore che offrirà suggerimenti concreti su come fare.
Oltre ai valutatori personali ci sono dei valutatori che hanno osservato tutti coloro che hanno parlato.
In particolare:
  • l’Italian Grammarian segnala l’uso corretto o migliorabile della lingua italiana
  • l’English Grammarian segnala l’uso corretto o migliorabile della lingua inglese
  • l’Ah counter annota suoni o parole usati come riempitivi al posto delle pause, come eh, ah, ehm, bene, allora…
  • il Timer prende i tempi di ciascun intervento e segnala chi ha sforato. Perché è molto importante rispettare i tempi stabiliti, in modo da non rubarne agli altri partecipanti e a non allungare la serata oltre i tempi stabiliti.
  • infine il General Evalator pone attenzione e riferisce su tutti gli altri aspetti della serata.
Tutti questi ruoli vengono svolti a rotazione dai soci, così che chi una sera ha tenuto un discorso, la successiva farà da valutatore. Siamo tutti pari, nessuno insegna ma ci si aiuta a vicenda nella crescita.
The meeting, guided in turn by one of the members called “Toastmaster of the day”, is composed of three main parts:
  1.  speeches
  2. improvisations (Tabletopics)
  3. evaluations.
1. Speeches
For every meeting, three or four members prepare their own speech lasting 5-7 minutes. The subject of the speech, except for the first one, which foresees presentation of a new member to the club (also called “the icebreaker”), is left to the speaker, but it has to be related to the objectives foreseen for every assignment. “Competent Communication” manual is used for the speech preparation, and it includes ten projects, every one having its own specific objective, according to the importance and difficulty. For example, the second one is about the speech organization (opening, body and conclusion, the fourth one is focused on the use of words adjusted to the speech purpose, the fifth is on the body language, while the sixth is on the usage of vocal variety.
At the end of every speech, the other members are to compile an evaluation sheet, which helps to the speaker to understand how he managed to present himself/herself to the audience, which are his/her strong points and which areas should be worked on.
2. Table Topics
In order to give the possibility to all the members and guests to speak, who were not meant to be speakers, evaluators, toastmasters of the day, general evaluator, or table topics master, in 15 minutes dedicated to improvisations, they would be given a chance to speak in public, without any preparation.  
The Tabletopics master of the evening prepares the questions or ideas to ask the members and guests, who would speak for a minute or minute and a half. Usually, it is a very fun part of the meeting, since the Tabletopics master always strives to find an interesting argument, such as to comment on the proverb or phrases of Perugina’s kisses or fortune cookies.
3. Evaluations
The main aspect of the Toastmasters is the final part of the meeting, i.e. the evaluation section. Each speaker shall be given his personal evaluator for that evening, who listened to him/her very carefully and who has already reached the objectives of the project in question (speech level). The evaluator shall evaluate the speaker in front of everybody, within the timeframe of 2-3 minutes, in order to highlight the speaker’s strong points, the aspects that were done well, in order to let him/her know it and to help him/her develop it further. The evaluator also reports on the points of improvement, according to him/her, and offers the methods of how to improve.
Aside of the personal evaluators, there are evaluators whose task was to observe all of them who have been speaking, such as:
  • Italian Grammarian – reports the correct use of the Italian language 
  • English Grammarian – reports the correct use of the English language
  • Ah-counter – gives notes of the filler words or sounds like eh, ah, ehm, well…
  • Timer follows the time of every intervention and reports who of the speakers used more time than foreseen. It very important to stay within time frame foreseen, in order not to steal it from the other participants, or to extend the meeting.
  • In the end, the General Evaluator sums up how the evening went on.

 

All these roles are performed in rotation, so that who was a speaker one evening, the next one shall be the evaluator. We are all equal, no one teaches us, but we help each other grow.
